The 2012 Eagan Wave Future Stars Tournament will involve over 175 teams and 2,100 players. In order for a tournament of this size to be successful, volunteer hours for EWSC teams and their families are mandatory.
Volunteer duties will be assigned and managed at the team level in 2012. Each team will need to assign and identify one individual (Team Volunteer Coordinator) as a contact point for the volunteer process. The Team Volunteer Coordinator does not need to be the team manager. Each team should forward the name of its Volunteer Coordinator to Brian Anderson (brianineagan@comcast.net) as soon as possible.
What will be the primary duties of the Team Volunteer Coordinator?
To collect checks, which will be turned in when player passes are picked up: Team Volunteer Coordinators will be responsible for collecting a $50 deposit check, payable to EWSC, for all players (exempt and non-exempt) on its team. The EWSC Registrar will schedule two or more evenings in late April or early May for teams to pick up player passes. Team checks and a team roster (with exempt families noted) will be turned in at that time. No Check - No Pass - No Play! Exact dates, times and locations for check turn-in and player pass distribution will be communicated at a later date.
To assign and forward name and contact information of team volunteers: EWSC will assign volunteer positions to each team during mid April. Team Volunteer Coordinators will be responsible for making sure all volunteer positions for their team are filled. Brian Anderson will be in contact with Team Volunteer Coordinators with additional details and information.
Are all Eagan Wave Teams required to participate in the Future Stars Tournament?
EWSC teams participating in State Cup games that conflict with the tournament will not be required to play. These teams will be assigned other volunteer opportunities during the soccer season (e.g.,pre-tournament prep, field and net prep, uniform distribution, tryouts, etc.). All other EWSC teams (all ages and levels) are required to play in the Future Stars Tournament.
Which teams have been assigned volunteer duties outside of the tournament?
U12BC2 - Uniform and equipment distribution
U14GC1 - Pre-tournament prep; team bag assembly and game card prep
U18GC1 - Field prep; net set-up and field maintenance
U16GC1 - Tryouts in late July / August 2012
U16GC2 - Tryouts in late July / August 2012
An EWSC Board member will be in contact with these teams and their managers with additional details.
Will individuals from each team be "exempt" from volunteering? (revised 3/7/12)
Each team will determine who is exempt from volunteering based on their knowledge and understanding of which families already contribute a significant amount of volunteer time for the club. A team may decide to exempt its team manager, head coach, primary assistant coach, etc. A team may also decide to exempt a parent who is taking on a larger volunteer role for the tournament.
Non-exempt families will be required to fill all assigned volunteer spots. If teams have a significant number of exempt families (more than 3), this may require non-exempt families to fill more than one volunteer spot. Names of exempt families and reasons for exemptions will be noted on the team roster turned in with the volunteer checks.
Are volunteer hours required per family or per player? (revised 3/7/12)
Volunteer duties will be assigned per PLAYER. For example, if you have two children playing on two teams, you will have volunteer duties assigned for both teams. Families that already contribute a significant amount of volunteer time and are exempt from a team as noted above will be exempt from all of their players teams.
Who will determine if a family has met their volunteer obligations?
All volunteers will be required to sign-in upon arrival of their shift. The sign-in sheets will be returned to the club, and the club will determine which individual checks to cash.
What will happen to my $50 deposit check?
All deposit checks will be placed in a safety deposit box at Minnwest Bank. Checks that are not cashed will be destroyed.
What if a family does not want to volunteer or would like to find a substitute?
If a family prefers not to fulfill their volunteer obligation, they will automatically forfeit their $50 deposit and the club will find a volunteer to fill their slot. Substitutes are acceptable but must be high school age or older. If a sub does not show for the shift, the family will forfeit their deposit. Team Volunteer Coordinators will note these situations on their roster when they turn in the deposit checks.
Will volunteer obligations conflict with my players' game?
The club will make every attempt to schedule teams at the fields where their children are playing. However, the largest number of teams (U9-U10) play at Northview where the volunteer needs are significantly less. So there is a possibility that your volunteer duties will coincide with your child's game. Logistically, there is no way to coordinate every player's game schedule with every volunteer position.
How many hours will each family be required to volunteer?
The club is working on identifying total volunteer hours needed per player. We anticipate two or three hours per player. Some volunteer positions may require a larger time commitment than others.
Can I take on a larger voluteer role for the tournament?
Absolutely! We are always in need of volunteers that are willing to invest more time in planning and managing the tournament. Please contact terriabbott@comcast.net if interested.
