EWSC Board of Directors - Desciption of Duties

EWSC Board Member Duties

President
Provide club leadership and represent the club at MYSA and EAA meetings. Provide overall direction and management of the soccer club and chair Board meetings.

Vice-President
Act as a stand in if the President is not available and lead the Parent Advisory Committee (PAC).

Director of Girl’s Program
Assist in the recruitment of coaches, administer tryouts for girls traveling teams, and complete team selection for girls.

Director of Boy’s Program
Assist in the recruitment of coaches, administer tryouts for boys traveling teams, and complete team selection for boys.

Treasurer
Prepare and present the annual budget and proposed registration fees to EAA, track expenditures throughout the year, administer board funds, coordinate financial activity with the EAA Treasurer and present accurate financial statements at monthly Board meetings.

Secretary
Organize board meetings, club calendar, take and publish board-meeting minutes, keep all club records and provide administrative help to the board.

Director of Website and Communications
Responsible for Website customizations and coordinate all communication through the EWSC website.

Director of Equipment
Organize the distribution and collection of team equipment. Purchase all required soccer equipment and supplies as directed by the EWSC board. Coordinate with EAA for the storage of soccer equipment in the off-season. Provide and maintain nets for all soccer fields.

Director of Tournaments
Responsible for tournament coordination, including direction of Parent Advisory Committee volunteers assigned to help with various tournament activities.

Director of Fields
Coordinate with the City of Eagan to arrange for field preparation, availability and to report problems. Schedule the use of assigned fields for games and practices.

Director of Referees
Assist the Referee Scheduler. Assist with recruiting and training of new referees. Schedule referee clinics as appropriate to encourage and promote certification of referees for EWSC. Develop a mentor program for referees to facilitate training of new or younger age referees. Utilize MYSA resources to promote and enhance EWSC referee program. Coordinate referee evaluation process.

Director of Team Managers
Director of Team Managers will provide support and information to the EWSC Team Managers. A main focus of this effort is to afford the coaching staff the opportunity to concentrate on player development.

  • Maintenance of Team Manager Handbook
  • Coordination of team pictures
  • Communications with Team Managers throughout season

Director of Coach Operations

  • Coach interview forms, process and scheduling
  • Coach selection committee (With boys/girls directors and Director of Coaching and Player Development)
  • Parent survey process
  • Coach incident investigation and disciplinary recommendation
  • Director of Coaching and Player Development coordination
  • Coach development coordination/tracking
  • End of season coach evaluation (With Director of Coaching and Player Development)
  • Coaches manual, season check list and administrative training (new coaches)
  • Coordination of coach’s reference library with web director
  • Coach-to-coach list admin
  • Training links administration

Director of Marketing and Fund Raising

  • Develop and manage fund raising programs
  • Develop marketing strategy for EWSC functions and coordinate with Parent Advisory Committee:
    • Tournaments
    • Tryouts
    • Offseason Training
    • Club Camps

Registrar
This is a non-voting position. Duties are as follows:

  • To arrange and conduct registration sessions for Summer and Fall soccer
  • Provide necessary materials for the processing of late sign-ups
  • Maintain a database of all registered players, provide mailing lists as required, maintain a database of EWSC player’s birth certificates and coaches and volunteers
  • Interface with the MYSA and provide all necessary computer disks for the registration of traveling soccer administrators, teams, players, and coaches
  • Responsible for reconciling and keeping computer records of all registration money, including reimbursements. To keep account of scholarships, EAA family fees, and soccer fee registrations
  • Provide statistical information concerning registrations and projections of future registrations

A.16. Referee Scheduler
This is a non-voting position. Duties are as follows:

  • Maintain a database of certified referees in the Eagan area
  • Schedule three referees for each traveling soccer game
  • Maintain records of referee participation and performance
  • Interface with local soccer clubs to share referees
  • Interface with State Referee Association (SRA)
